MISSIONS AND RESPONSIBILITIES
The Maintenance Coordinator is responsible for the effective and efficient coordination of maintenance and repair work on a diverse range of equipment essential to the company’s operations (heavy vehicles, light vehicles, earthmoving equipment, generators…). This involves both hands-on field work and administrative tasks. This role ensures that all maintenance and repair work is carried out on time, supporting the smooth running of equipment while guaranteeing compliance with performance, reliability and safety standards.
Here are the key responsibilities of the Maintenance Coordinator :
1. Maintenance planning :
• Develop and implement a maintenance and repair process for routine, preventive and corrective maintenance.
• Coordinate with other departments to plan maintenance work, ensuring minimum downtime and reduced impact on production and sales.
• Ensure that all repair and maintenance work complies with company policies, safety standards and regulatory requirements.
2. Repair management :
• Perform diagnostic assessments to identify equipment failures and determine the most effective repair methods.
• Manage the entire repair process, ensuring fast and efficient problem resolution.
• Coordinate repair activities with internal maintenance teams and external suppliers, ensuring quality of workmanship and adherence to deadlines.
3. Work order management :
• Receive, prioritize and assign maintenance and repair Work Orders.
• Track progress and completion of Work Orders, ensuring efficient workflow and timely resolution of tasks.
• Maintain detailed records of all maintenance and repair work for tracking and reporting purposes.
4. Inventory and resource management :
• Collaborate with the warehouse team to manage the inventory of maintenance and repair supplies, tools and equipment.
• Plan the procurement of necessary parts and tools, ensuring that part numbers and technical specifications are defined and communicated correctly to the SCM Purchasing team.
• Monitor and control maintenance and repair costs, implementing cost-cutting measures while maintaining quality and efficiency.
• Implement effective and economical strategies for corrective and preventive maintenance activities.
• Carry out regular inspections of equipment to identify malfunctions, safety hazards and excessive wear.
• Ensure availability of preventive maintenance kits and spare parts to support uninterrupted maintenance activities.
• Create and maintain detailed preventive maintenance checklists for mechanics.
• Manage tire changes for heavy mobile equipment, monitor tire performance and consumption, and provide annual forecasts.
5. Team coordination and supervision :
• Manage and supervise a team of maintenance and repair technicians, ensuring compliance with technical standards and safety protocols.
• Provide technical training, mentoring and support to maintenance staff to improve their skills and performance.
• Carry out regular performance appraisals, identify areas for improvement and implement development plans.
• Ensure that maintenance personnel are equipped with the tools and parts necessary to effectively complete work orders.
6. Reporting and documentation :
• Prepare and submit regular reports on maintenance and repair activities, performance indicators and major problems.
• Maintain complete documentation of maintenance procedures, repair manuals and records.
• Prepare daily and weekly maintenance reports for management review.
• Maintain accurate records of repairs and maintenance activities.
7. Other :
• Identify areas for improvement, propose solutions with cost analysis and advise management on the use of hazardous equipment.
• Ensure compliance with safety rules and practices, holding maintenance staff accountable for compliance.
• This role may require occasional evening and weekend work, as well as frequent travel to different sites.
• This role must be able to work in a variety of environmental conditions, including indoors and outdoors.
• Physical ability to perform maintenance tasks as required, including lifting and operating machinery.
